Please read these conditions of hire carefully so that you are aware of
your responsibilities.
TERMS OF HIRE FOR HOCKLEY HEATH PAVILION
Hire
charge/deposit
-
The hire
charge and deposit must be paid by the Hirer seven days in advance of
the Hire Period, payment by cheque made payable to Hockley Heath
Residents Association. If the booking is made less than seven days
before the Hire Period the hire charge and deposit must be paid in
cash. Subject to the terms of this contract, the deposit, or
remaining balance, will be repaid to the Hirer by cheque within seven
days of the end of the Hire Period.
Supervision
-
The Hirer
will, during the Hire Period, be responsible for supervision of the
Premises, the fabric and the contents; their care, safety from damage
however slight; or change of any sort and the behaviour of all persons
using the Premises whatever their capacity; including proper
supervision of car parking arrangements.
Please note: No pins, sellotape, blue-tak or other fastenings are
to be used to hang posters, decorations, balloons etc to the walls,
ceilings, doors or woodwork of the building. Where it is found that
the Hirer has used any such items, a fee of £5 will be deducted from
the deposit.
Use of
Premises
-
The Hirer
shall not use the Premises for any purpose other than that described
above in this hire agreement and shall not sub hire or use the
Premises or allow the Premises to be used for any unlawful purpose or
in any unlawful way nor do anything or bring onto the Premises
anything which may endanger the same or render invalid any insurance
policies in respect thereof nor allow the consumption of alcohol
thereon by anyone under the age of eighteen nor allow the sale of
alcohol without appropriate licensing arrangements in place.
Licences
-
The Hirer
shall be responsible for obtaining such licences as may be needed for
the sale or supply of intoxicating liquor or for performances of any
kind whatever as necessary and for the observance of the same at the
Premises for the duration of the Hire Period.
Gaming,
betting and lotteries
-
The Hirer
shall ensure nothing is done on the Premises on or in relation to the
premises in contravention of the law relating to gaming, betting and
lotteries.
Public
Safety Compliance
-
The Hirer
shall comply with all conditions and regulations made in respect of
the Premises, by the Fire Authority, Local Authority or otherwise,
particularly in connection with any event which includes public
dancing or music or other such entertainment or stage plays. The
Hirer must make themselves familiar with our Fire Safety Policy, a
copy of which is attached to the notice board in the hall.
Health and
Hygiene
-
The Hirer
shall be responsible, if preparing, serving or selling food observe
all relevant health and hygiene regulations.
Electrical
Appliances
-
The Hirer
shall ensure that any electrical appliances brought by him onto the
Premises and used there shall be safe and in good working order, and
used in a safe manner.
Indemnity
-
The Hirer
shall indemnify the Committee for the cost of the repair of any damage
done to any part of the Premises (including the exterior and the
recreation ground) or the contents of the Premises which may occur
during the Hire Period as a result of the hiring.
Accidents
and Dangerous Occurrences
-
The Hirer
must report all accidents involving injury to the public to the
Committee as soon as possible. Any failure of equipment must also be
reported as soon as possible.
Children
-
The Hirer
shall ensure that any activities for children are compliant with all
legislation from time to time in force and that only appropriate
persons have access to children.
Cancellation
-
If the
Hirer wishes to cancel the booking and the Committee is unable to find
a replacement booking the Hire Charge shall be at the discretion of
the Committee.

The
Committee reserves the right to cancel in the event of the Premises
being required for use as a Polling Station, or if the hall is
rendered unfit for use in any way in advance of the Hire Period in
which case the Hirer shall be entitled to full reimbursement of any
sums already paid. Further, the Committee reserves the right to cancel
any booking on 7 days written notice to the Hirer and the Hirer shall
be entitled to a full refund of any sums already paid.
End of Hire
-
The Hirer
shall be responsible for a) leaving the Premises and the surrounding
area in a clean and tidy condition; b) ensuring all doors and windows
are properly locked and secured unless directed otherwise by the
Committee, c) switching off all lights and d) ensuring any contents
temporarily removed from their usual positions are properly replaced.
If any of the items a) to d) are overlooked, a fee of £5 will be
deducted from the deposit for each item of infringement (for example,
but not limited to each door left unsecure, each window left open,
each light left on, etc)
Noise
-
The Hirer
shall ensure that the minimum of noise is made on arrival and
departure and, for evening bookings, that the gates to the car park
are locked and secure.
Refuse
-
The Hirer
shall remove all rubbish or other refuse from the Premises at the end
of the Hire Period and shall NOT deposit or dispose of the same within
the premises or the Recreation Ground. For each item of refuse left
behind at the end of the Hire Period, a fee of £10 will be deducted
from the deposit.
